What does planning a wedding actually look like?

 

A wedding is one of life’s most beautiful celebrations, though the planning can sometimes feel daunting. At Mona Farm, our role is to walk alongside you, guiding, supporting, and simplifying the process so you can focus on what truly matters: celebrating your love with the people that matter most to you. From the moment you confirm your wedding with us, your journey begins.

 
 
 

Your Introduction to Planning

Once your date is secured, you’ll be warmly introduced to your dedicated Mona Farm Wedding Planner and gain access to your personalised Wedding Planning Portal. Think of this as your wedding hub—home to everything you’ll need in one convenient place. Inside, you’ll find your contract, accommodation spreadsheet, guest list template, and our curated collection of useful links. From FAQs and recommended creatives to sample menus and floorplans, the portal is designed to give you clarity and inspiration as you plan your celebrations.

Within five business days, we’ll invite you to your Initial Introductory Meeting, easily booked via Calendly. Here, we’ll walk through the planning process together, answer your initial questions, and set you up for the exciting months ahead.


Key Partners & First Connections

Food and transport are central to your wedding experience, so early on we’ll connect you with our trusted partners. Couples working with Simon Ekas Catering will be introduced to their team to arrange a menu tasting, while Braidwood Buses will assist with transport planning. If our in-house team is catering your wedding, your Wedding Planner will guide you through booking your combined menu and wine tasting at Mona Farm.


Building the Journey Step by Step

About two weeks after your introduction, we’ll provide more details on accommodation and how best to manage this for your guests. Nine months before your wedding, you’ll be invited back to Mona Farm for your wine tasting and overnight stay—a beautiful opportunity to immerse yourself in the estate and make important decisions about your beverage selections.

Six months out, we’ll reconnect to finalise accommodation requirements, and this is when your wedding day minimum spend is due. From there, the details begin to fall into place:

Four months prior: Submit your completed accommodation spreadsheet so we can invoice guests for their allocated rooms.

Two months prior: Submit your Final Details Document and guest list.

One month prior: Your balance invoice is due.

Three weeks prior: We’ll confirm your final numbers, working flexibly where possible, keeping in mind our two-week cutoff for guest changes.


Final Preparations

Once we have your Final Details Document, our team prepares your Event Order—a comprehensive guide outlining every element of your wedding. Alongside this, we provide your floorplans, guest list, and accommodation configuration spreadsheet for review. Two weeks out, your Catering Order is finalised, ensuring every dietary requirement, menu selection, and service detail is accounted for.

By this stage, everything is in place. Your wedding vision has been transformed into a detailed plan, allowing you to arrive on the day relaxed, confident, and ready to celebrate surrounded by the people you love most.
